Terms of Service
1. Who We Are
Aetherbloom Ltd is a business process outsourcing and digital support company registered in England and Wales. We connect UK businesses with dedicated, professionally trained remote teams based in South Africa, delivering customer support, back-office operations, and specialist business services to UK compliance standards.
These Terms of Service govern your use of our website at www.aetherbloom.co.uk and any services you purchase from us. By accessing our website or engaging our services, you agree to be bound by these terms.
2. Our Services
Aetherbloom provides business support services including but not limited to customer experience management, virtual administration, HR support, bookkeeping, data analytics, social media management, content moderation, lead generation, transcription, inbound and outbound sales, and website design.
Full details of our current service offerings, packages, and pricing are available at www.aetherbloom.co.uk/services.
Services are provided under a separate Service Agreement or Statement of Work agreed between Aetherbloom and the client prior to commencement. These Terms of Service apply in conjunction with any such agreement.
3. Engaging Our Services
To engage Aetherbloom's services, clients are required to complete our assessment process, which allows us to understand your business needs and recommend the most appropriate package or solution.
A service engagement begins when both parties have agreed the scope of work in writing and Aetherbloom has issued and received a signed Service Agreement or confirmation of acceptance.
We reserve the right to decline any engagement that we determine is not a suitable fit for our services or that conflicts with our values as an ethical business.
4. Pricing and Payment
All prices are displayed in British pounds (GBP) and are exclusive of VAT where applicable.
Payment is due monthly in advance unless otherwise agreed in writing. Aetherbloom reserves the right to suspend services where payment has not been received within 7 days of the due date.
We do not charge setup fees. The price agreed at the point of sign-off is the price you pay. Any additional services requested outside of the agreed scope will be quoted separately and require written approval before work commences.
Prices are subject to review. Clients will receive a minimum of 30 days written notice of any pricing changes.
5. Contracts and Cancellation
Aetherbloom operates on monthly rolling contracts unless a fixed term has been explicitly agreed in writing.
Clients may cancel their service with 30 days written notice. Notice must be submitted in writing to hello@aetherbloom.co.uk. Services will continue and payment will remain due for the full notice period.
Aetherbloom reserves the right to terminate a service agreement immediately and without refund in the event of a material breach of these terms, non-payment, or conduct that is abusive, discriminatory, or harmful toward our team members.
6. Two-Week Money Back Guarantee
New clients who are not satisfied with the quality of service delivered within the first 14 days of their engagement are entitled to request a full refund of their first monthly payment.
Refund requests must be submitted in writing within the 14-day period with a brief explanation of the concerns. Aetherbloom will review all requests fairly and process approved refunds within 10 business days.
This guarantee applies to new clients only and to the first payment period. It does not apply to bespoke or custom project work.
7. Confidentiality
Both parties agree to keep confidential any information shared in the course of the business relationship that is not publicly available. This includes but is not limited to business processes, client data, pricing, strategies, and operational information.
Aetherbloom will not share, sell, or disclose your business information to any third party without your express written consent, except where required by law.
This obligation continues beyond the termination of any service agreement.
8. Data Protection and GDPR
Aetherbloom is registered with the Information Commissioner's Office (ICO Reg. ZC138924) and is fully committed to compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Where Aetherbloom processes personal data on behalf of a client, we act as a data processor and the client acts as the data controller. A Data Processing Agreement will be provided as part of the service onboarding process.
All Aetherbloom team members are trained to UK data protection standards. Data is handled securely, stored appropriately, and never used for any purpose beyond the delivery of agreed services.
For full details of how we handle data, please see our Privacy Policy at www.aetherbloom.co.uk/privacy-policy.
9. Intellectual Property
Any content, materials, or work product created by Aetherbloom specifically for a client as part of an agreed scope of work becomes the property of the client upon receipt of full payment.
Aetherbloom retains ownership of any tools, templates, frameworks, or proprietary processes used in the delivery of services. These are made available to clients for use during the service engagement and do not transfer upon termination.
Aetherbloom reserves the right to reference the client relationship for portfolio and marketing purposes unless the client has explicitly requested confidentiality in writing.
10. Limitations of Liability
Aetherbloom will always endeavour to deliver services to the highest standard. However, we cannot guarantee specific business outcomes, revenue results, or performance targets as these are influenced by factors outside our control.
To the maximum extent permitted by law, Aetherbloom's total liability to a client in connection with any service shall not exceed the total fees paid by that client in the three months immediately preceding the claim.
Aetherbloom is not liable for any indirect, consequential, or speculative losses including but not limited to loss of profit, loss of data, or reputational damage arising from the use or inability to use our services.
11. Conduct and Respect
Aetherbloom is built on values of integrity, respect and excellence. We expect the same from those we work with.
We reserve the right to terminate any service agreement immediately and without refund where a client engages in conduct toward our team members that is abusive, threatening, discriminatory, or otherwise unacceptable. This applies across all communication channels including email, phone and messaging platforms.
We are proud of our team. We will always act to protect them.
